Explanation of MCQ

Staffing is considered the fifth function of Management alongwith Four (4) Basic Functions Of Management. It is related with Human Resource Management (HRM) in which human resources of the organization are utilized efficiently and effectively to achieve organizational objectives and goals. The main aim of a human resource manager is to hire those skillful employees who give the desired results by using their skills, knowledge, expertise and experiences efficiently and effectively.

In this function, (four) 4 main tasks are explained below:

(i) Recruiting

It means to find, attract and conduct interviews of applicants, who apply for the job, in order to give required jobs to qualified candidates, who will perform their responsibilities in exchange of salary packages, in order to fill the vacancies in the organization. The main purpose of recruiting is to find the best skillful and talented employees for the job in an organization to achieve desired results.

In order to recruit new and best employees, job analysis is conducted.

Job Analysis

It is an analysis of responsibilities, skill levels of jobs and the kinds of employees who are finally hired for the job. There are two components of job analysis:

(a) Job Descriptions

It contains list of duties and responsibilities, working conditions of the job position, employer employee relationship, etc.

(b) Job Specifications

It shows a list of characteristics (education, skills, experiences, etc.) of employees required to fill the job positions.

(ii) Hiring

After recruiting the applicants, they are selected on the basis of merit from a list of all applicants. After selecting, they called for inter views and finally they are hired in the required positions of the jobs for which they applied for. The HR manager should try to select the right persons for the right jobs to achieve desired results from the employees hired in the organization.

(iii) Retaining

There is also need to retain new skillful and well experienced employees who are given or may give results, in the organization. To retain employees, the company should do the following:

(a) Conduct Surveys

These are used to know the satisfaction level, the problems the employees may face during working hours, getting suggestions & recommendations, etc. The HR management should solve their important problems in order to satisfy them an retain them in the organization upto their retirement age.

(b) Identify Roles

By identifying their roles in the organization, they better know what are their responsibilities and what are expected from them to achieve targeted goals.

(c) Flexible Working Hours

If the employees are given flexible working hours, they tend to perform well because they may feel comfortable and easy to work at that shift. Rotating time shifts can also be helpful for them to engage in their work tasks.

(d) By Promotions

If some performed well for a specified period, they should be promoted to the next top position to in their responsibilities but with higher salary package which satisfies them to perform well in the organization and not to leave his job from this organization.

(iv) Motivating

The manager can motivate the employees by rewarding them and can encourage them to do well in the next task by words and actions. The increase in morale helps them to performance well continuously during the current project.
